about this team

Our Global Distribution teams are part of our greater lululemon Supply Chain organization. This team supports lululemon’s overall purpose by ensuring we are fulfilling our products to our guests through our various channels including our retail stores and ecommerce.  Reporting to the Director of Distribution Operations, the Office Manager is responsible for the overall office management of a DC facility and/or DC Campus.  They lead the Office support teams, ensuring a lululemon culture is upheld for both guests and employees while delivering administrative responsibilities in a timely, accurate, and compliant manner.  This role is a key partner who collaborates across all levels of the organization.

 

core responsibilities

  • Directs and oversees all aspects of office management for a DC facility and/or DC Campus (multiple buildings) serving a base of 2,000 – 4,000 guests and employees/workers daily in a campus size of 600+ sq ft.
  • Supports DC Leadership team in creating and implementing plans that align with DC and company goals.
  • Leads a team of DC Workforce Administrators, LMS Administrators, and Office Coordinators, while providing coaching and development to achieve business objections.
  • Responsible for all aspects of the employee life cycle for their direct reports including- hiring, onboarding, training, performance management, rewards and recognition, offboarding, etc.
  • Oversees the coordination of all internal and external visits and maintains facilities and security to support a welcoming experience for both guests and employees to the building.
  • Oversees all office services requests, to be allocated to facilities team when needed; including but not limited to parking, security access, booking resources, supply inquiries, and office feedback.
  • Oversees purchasing, allocation, and tracking of all office, warehouse, kitchen, and toiletry supplies to maintain adequate stock of supplies. 
  • Oversees accurate and timely timekeeping and reporting of lululemon employees and agency workers; including edits, reconciliations, audits, and reporting across Dayforce, CMS, and LMS.
  • Oversees the daily maintenance of data input, hours reconciliation, production feeds, employee profiles, schedules, and software maintenance for the Labor Management system (LMS) as well as the daily, weekly, and monthly LMS reporting.
  • Prepares and processes invoices for the DC and supporting partners; reviewing POs for accuracy and compliance to PO2 Pay Policy.
  • Manages contract and performance of DC office vendors including vendor onboarding and offboarding where appropriate.
  • Tracks and monitors the DC budget, including people related expenses.
  • Responsible for managing internal communications related to maintaining all public building information and signage and information related to employee updates and engagement (i.e., communication boards, announcement emails, DC Juicy Goods, etc.).
  • Partners in the planning and execution of employee engagement events for the DCs including year-end gala, summer series, rewards, and recognition, etc.
  • Schedules manager travel arrangements, coordinates itineraries, and reviews expense claims for accuracy and adherence to policy.
  • Supports DC site specific projects as required including sustainability efforts, construction, asset protection, People & Culture, and FP&A
  • Champions and leads through lululemon’s IDEA (Inclusion, Diversity, Equity and Action) initiatives and values.
  • Will perform other duties as requested by the Director of the Distribution Center

 

qualifications

  • Bachelors/Associate degree in Business Administration, Business Management or related field or equivalent on the job experience.
  • 3-5 years of experience in clerical or administrative support duties.
  • 2+ years direct supervisory experience.
  • Ability to communicate effectively with the team and business partners.
  • Ability to build strong business partnerships across all layers of the organization.
  • Extraordinary customer service, organization and time management skills.
  • Self-starter, proactive and solution oriented.
  • Excellent team player and ability to work independently.
  • Proficient in Microsoft Office Suite including Power Point, Excel, and Outlook.
  • Demonstrated ability to maintain a high level of confidentiality and strong judgement.

compensation and benefits package 

lululemon’s compensation offerings are grounded in a pay-for-performance philosophy that recognizes exceptional individual and team performance. The typical hiring range for this position is from $81,000-106,500annually; the base pay offered is based on market location and may vary depending on job-related knowledge, skills, experience, and internal equity. As part of our total rewards offering, permanent employees in this position may be eligible for our competitive annual bonus program and, subject to program eligibility requirements.

In-person collaboration and office-based work is necessary and important for this role. Work is performed onsite, 5 days a week, depending on role requirements.
