About this team

The lululemon Liaison Office (LLO) team is dedicated to ensuring our products are produced of the highest quality, delivered when we need them, and manufactured with partners who share our commitment to elevating the world. Not only do we manage the production of great, high-quality products, we also build great relationships with each other and with our vendor community. 


A day in the life: 

  • Office Management 
    • Act as office manager handling office procedures and operations, from facilities maintenance, leases, payments, security access cards etc., to ensure the office complies with local labour, tax and reporting requirements
    • Follow up on all related labour department compliance requirements such as insurance renewals, certificate of incorporation updates etc
    • Negotiates contracts and service level agreements for third party suppliers and/or service providers
    • Manages and oversees the corporate and engagement budget for local Sri Lanka office and staff
    • Liaise with Financial Planning & Analysis (FP&A) on monthly budgeting meetings and updates, works closely with Finance to monitor the company’s bank accounts and balances and request additional funds when necessary; act as a back up to office accountant, support on processing invoices and prepare payment in a timely manner
    • Responsible for travel arrangements for multiple office Director and ensure adherence to budget 
    • Manage office leader's daily calendars and appointments and keeps all informed of attendance obligations or organize meetings and equipment when needed; ensure the travel arrangements and expense reports for office leaders are adherence to budget and policies
    • Responsible for supporting the coordination and follow-up of key meetings, conferences, training, team events, celebrations etc. including management of Fun Club budget and supports coordination of activities, and scheduling and organizing meetings, meeting rooms and equipment as needed 
    • Support with legal requirements, including document preparation and corporate chop management in liaison with the legal team at the regional office and local law firm
    • Work with treasury and tax teams as well as local accounting companies to support finance requirements and negotiates contracts and service level agreements for third-party suppliers and/or service providers
    • Be the critical point of contact for all miscellaneous projects and backup to office IT on troubleshooting issues
    • Support ad-hoc translation or any other duties and tasks that were assigned
    • Run and lead local sample sales for internal teams


  •  People & Culture 

    • Be a People & Culture (P&C) advisor to Business leaders for building and developing the leadership team that creates an inclusive and thriving work environment.
    • Provide effective and timely P&C support, coaching, counseling and advice to managers and team leaders on various P&C related topics including career development, recruitment practices, succession planning, compensation and performance management, diversity & inclusion and other HR practices.
    • Partner with P&C team to deliver annual people programs including Year End, compensation review and bonus programs.
    • Partner with Talent acquisition to support and facilitate hiring and onboarding processes.
    • Closely work with P&C team and support P&C administrative tasks on related labour government compliance requirements such as insurance renewals, certificate of incorporation updates etc.
    • Validate and confirm that all P&C administrative forms/systems are correctly completed by managers with appropriate approvals, and regularly create and maintain employee records in Workday.
    • Ensure that all Workday people transactions and reporting is completed in a timely manner along with general P&C administration management in partnership with People Experiences support team.
    • Any other duties and tasks that assigned by P&C team.


Qualifications:
  • Your ideal background: Bachelor's degree and 3+ years experience in an Office Administration role
  • You are professional and can keep sensitive information completely confidential and organized
  • You are tech-savvy - well versed in Microsoft OS apps (e.g. 0365, PowerPoint, Excel)
  • You are fluent in Sinhala, Tamil and English
  • You have a proven work ethic with the utmost integrity and desire to excel and succeed
  • You are goal-oriented, self-motivated, responsible, passionate, and FUN!
