About this team

The P&C Business Partner team is responsible for providing strategic support to the organization for all people-related matters, ranging from organizational development, performance management, employee relations, and team and leadership development. In partnership with the People and Culture CoE’s (Centers of Excellence), they work closely with people managers and employees to accomplish business objectives through the application of thoughtful, intentional, and innovative people support.


A day in the life: 

Reporting to our People & Culture Manager, the People & Culture Coordinator will work on supporting the department to accomplish business objectives by assisting with critical people administration tasks and assisting with supporting P&C projects as required. 


HRBP support & Operations:


  • Accurately manage and maintain the integrity of employee data in our People Management system (Workday) for assigned departments, including: reporting, uploading documents, and processing job changes in a timely manner
  • Support P&C operations and employee life cycle processes (onboarding, offboarding, leave management, administrative tasks)
  • Preparation of employment certificate for nursery school enrolment, employment and termination.
  • Support to revision of work regulations due to legal amendments and submission of documents to the Labor Standards Office  
  • Provide HR administrative support to the People & Culture programs, including but not limited to performance reviews, talent planning, compensation programs, snack and chats, retention programs and net new programs and initiatives
  • Assist in P&C administration tasks including contract creation, responding to P&C emails, answering employee queries and maintenance of employee forms
  • Processing P&C invoices via Coupa within required timeframe
  • Perform ad hoc tasks as assigned by Manager and/or P&C Partner.


Health & Safety:


  • Suppor Annual Health check up admin
    • Selection of medical facilities for annual health checkups  
    • Submission of participant lists, distribution of info to stores, coordination of dates for certain stores
    • Filing medical check up result to share company doctor
  • Support documentation for medical leave benefits application and sending to employees 
  •  (Long term sick leave)
  • Gathering incident information for workers’ compensation claims, preparing documentation, coordinating with H&W and Payroll (work injury related)
  • Being a bridge between H&W in Korea and JP retail members about paid time off inquirie



Qualifications:
  • Post-secondary diploma, degree, or certificate in Human Resources Management or related field
  • Hands-on experience in HR operations, including data management
  • Minimum 2 years of experience in HR roles, preferably within retail or customer-focused industries
  • Strong Microsoft Office applications (Excel, Word, PowerPoint)
  • Proficient in Japanese and written English.
  • Excellent organizational skills and abilities, detail-oriented, and committed to a high degree of accuracy
  • Capable of effectively managing multiple demands from a variety of sources
  • Strong focus on customer service and meeting the demands of internal and external clients from an administrative/support perspective
  • Passion for the entire people process and experience, with a high level of confidentiality
