About this team

You thrive on seeing your executive leader succeed every day.  Are you an experienced executive assistant with a minimum of eight years’ experience and the power to predict the future…or it feels that way because you’re so good at anticipating what’s needed.
 
You are a strong assistant who is articulate, personable, and detail-oriented along with above average organizational and prioritization skills and ability to regularly act independently, making significant decisions. You must be able to build relationships with employees at all levels throughout the organization, have a good business sense and the ability to handle sensitive situations in a mature and confidential manner. You will enable the smooth operation of the office under the pressure of frequent interruptions and changes in priorities.


A day in the life 
  • You will support the Vice President of Digital & Omni, APAC, and Senior Director of Store Development, APAC.
  • Maintain deep awareness of the executive’s strategic goals and objectives, and support their achievement through sound judgement, prioritisation, and informed decision making.
  • Manage the executive’s complex professional and social demands, anticipating needs and planning proactively.
  • Oversee the executive’s full agenda and weekly priority list, including all meetings, appointments, events, and key personal dates.
  • Handle highly confidential and sensitive business information with professionalism and discretion.
  • Organise and coordinate regional meetings, summits, offsites, and leadership development days. And coordinate all meeting logistics (on‑site and off‑site), ensuring preparation of necessary materials and taking minutes for follow‑up actions.
  • Enhance executive productivity by summarising reports, preparing and reviewing draft communications, and supporting the development of presentations.
  • Arrange travel itineraries, reservations, and logistics for both professional and personal events, as well as executive visits.
  • Review employee expense submissions for accuracy and policy compliance, and support the approval of departmental expenses in alignment with quarterly budget management
  • Organise and coordinate key milestone meetings for the broader team
  • Support executives by organising onboarding schedules for their direct reports and coordinating town hall meetings.
  • Complete monthly expense reports and support broader claims processes.


Qualifications:
  • Experience in Secretarial and Executive Assistant duties, supporting senior leaders and executives.
  • Exceptional written and verbal communication skills in English, with strong interpersonal ability and experience engaging with senior stakeholders (including Board members and C suite leaders).
  • Proven ability to handle sensitive and confidential information with absolute discretion and reliability.
  • Strong technical proficiency with Microsoft Office 365 applications (e.g., Outlook, PowerPoint, Excel) and other business software; techs savviness is a strong advantage.
  • Excellent business acumen with the ability to exercise sound judgment, anticipate needs, and prioritise effectively.
  • Highly detail oriented with a commitment to accuracy and quality in all deliverables.
  • Resourceful, proactive, and able to independently source information and solutions to complete assigned tasks.
  • Strong organisational skills with the ability to manage multiple projects, meet tight deadlines, and balance shifting priorities
